Timeboxing is a simple yet effective method that involves allocating a fixed time period, or "box,” for each task or activity. Wait, you want me to schedule every minute of my day? Well, yes. If you don’t plan your days in advance, someone else will plan them for you. As the saying goes, act or be acted upon.
How to start timeboxing
We all wear multiple hats: parent, worker, spouse, etc. It’s important that you assign to-do’s a role. For example, let’s say you have to schedule a doctor’s appointment for your kids, prepare a presentation for work, and book a reservation for a date night. Three to-do’s, but each relates to different roles and responsibilities in your life. Start by listing out your roles. Be thoughtful about this, and only list the roles that are important to you. Within each role, write down the top 3-4 things you want to accomplish each week for each role. You now have a role-specific to-do list. Next, look at your week and start penciling in when you want to complete everything. For example, on Tuesday at 3 PM, carve out 30 minutes to schedule a doctor’s appointment for your kid. Wednesday, 9 AM, carve out 2 hours to prepare a presentation for work.
Typically, we are more productive in the morning, so we recommend anything that requires focus work to be scheduled before lunch. Other mundane tasks like appointments, emails, etc can be done in the afternoons. Last, don’t forget to carve our personal time for you!
This takes practice, but once this habit is formed, your weeks will become much more manageable, and you’ll be amazed at the increase in productivity. Remember, don’t try to fit 100 different things into the week. We are only human, so focusing on the 3-4 most important tasks per role is a good starting point. If this is still too much, start with timeboxing one day per week. With your days prepared ahead of time (we like to carve out 30 minutes on Saturdays or Sundays), you will also be able to adapt more quickly to the unexpected “things” that pop up during the week. The beauty of this technique lies in its simplicity and flexibility.
Finally, the goal isn’t to see how many boxes you can tick off your list; instead, it’s to answer the question, “Did I do what I intended to do without getting distracted?” After a few weeks, you’ll have a more clear picture of how to build the best possible day and week for your unique situation. You’ll begin to notice certain events typically take longer or shorter than you thought. That’s okay, adjust accordingly.
